PRIVACY POLICY

This privacy notice aims to give you information on how we collect and process your personal data through your use of this website and your subsequent interactions with us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. This privacy notice supplements the other notices and is not intended to override them.

SportsEvents Guide (CRN 3110665) with registered address at StoneX Stadium, Greenlands Lane, Hendon, NW4 1RL (“we”, “our”, “us”) is committed to protecting and respecting your privacy. We are the data controller for the purposes of the General Data Protection Regulation (Regulation (EU) 2016/279) and any other law applicable to the processing of your personal data. We will take all necessary steps to ensure that your personal data is processed by us in accordance with these data protection laws.

Types of information we collect

“Personal information” consists of any information that relates to you and/or information from which you can be identified, directly or indirectly. We may collect, use and store your personal information when you voluntarily submit it to us by becoming one of our members, purchasing a ticket to one of our events, purchasing any of our services, completing a form on our website, or engaging with the Club by phone, email, or otherwise. The type of personal information that we may collect includes, but is not limited to your name, contact details (email address, delivery address, billing address and telephone numbers), payment information (including bank account and payment card details), gender, date of birth, company name (if applicable), parent of guardian name (Community camps only), emergency contact name and number (Community camps only), medical notes (Community camps only). We may also collect technical information (including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, operating system and platform) about your use of our website (including the full Uniform Resource Locators (URL), clickstream to, through and from our site (including date and time), products or information you viewed or searched for, page response times length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse- overs), methods used to browse away from the page) from automated technologies such as cookies or interactions and third-party analytics providers, such as Google Analytics.

Like most other websites, we may use ‘cookies’. Cookies are small amounts of data that a website transfers to an individual’s hard drive for record-keeping purposes. Cookies allow the website to remember important information that will make your use of a website more convenient. For example, we may use cookies so that we remember you when you return to our website, to administer certain competitions, and to track the total number of visitors to our website on an anonymous aggregate basis. You can set your web browser to refuse cookies or to tell you when you receive a cookie. If you disable all cookies, you may not be able to take advantage of all the features on this website. We may also obtain personal information about you from other, publicly available sources (e.g LinkedIn and Company websites) such as your name, company, job title and contact information (telephone number and email address). Typically, this is done when conducting market research, fund-raising, sponsorship and marketing activities and sales to identify who to contact for this purpose. We also collect, use and share aggregated data such as statistical or demographic data for any purpose. Aggregated Data may be derived from your personal data but is not considered personal data in law as this data does not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy notice. We do not collect any Special Categories of Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences. In order to confirm your eligibility for any Disability discount we may ask you for proof of disability. Any disability verification documents submitted will be used to verify your status and will then be deleted from our systems. No sensitive data will be retained unless with your expressed written permission.

How we use personal information

We may use your personal information:

  1. to carry out our obligations arising from any contracts entered into between you and us and to provide you with the information, products and services that you request from us;
  2. to provide you with information about other goods and services we offer that are similar to those that you have already browsed or enquired about;
  3. to provide you, or permit selected third parties to provide you, with information about goods or services we feel may interest you. If you are an existing customer, we will only contact you by electronic means (e- mail or SMS) with information about goods and services like those which were the subject of a previous sale to or negotiations with you. If you are a new customer, and where we permit selected third parties to use your data, we (or they) will contact you by electronic means only if you have consented to this. If you do not want us to use your data in this way, or to pass your details on to third parties for marketing purposes, please tick the relevant box situated on the form on which we collect your data (the registration form);
  4. to enable us to administer any competitions or other offers/promotions which you enter for purposes related to your membership;
  5. for record keeping purposes;
  6. to notify you about changes to our service;
  7. to ensure that content from our site is presented in the most effective manner for you and for your computer;
  8. to administer our site and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;
  9. We use your personal data for insight analytics purposes to inform our strategic decisions and improve the effectiveness of our marketing activities.
  10. to improve our site to ensure that content is presented in the most effective manner for you and for your computer;
  11. to allow you to participate in voting or other interactive features of our site, when you choose to do so;
  12. as part of our efforts to keep our site safe and secure;

The law allows us to use your personal information on the basis that the processing is necessary for the performance of a contract with you, or we are acting in our “legitimate interests” in the promotion and efficient running of our business, provided your rights and freedoms are not overridden.
  16. If you are currently receiving regular mailings from us and would like this to stop, you can opt out and ask for your information to be removed from our database. To opt out of receiving marketing-related correspondence from us, please click “Unsubscribe” from any marketing or promotional email you receive from us. This will ensure that we will not send you regular mailings of that sort again unless you opt back in, but we still have your email information.

How we use Personal Information:

We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us. If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so. Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law. You agree that we have the right to share your personal information with any member of our group, which means our subsidiaries, our parent companies and our ultimate holding company and its subsidiaries, as defined in section 1159 of the UK Companies Act 2006.

We may also disclose your personal information to the following entities:

Service Providers - We use third party service providers to help us to administer certain activities and services on our behalf, such as providing our website, analysing usage of our Services, facilitating bookings of events. We may share Personal Information about you with such third-party service providers solely for the purpose of enabling them to perform services on our behalf and they will operate only in accordance with our instructions. Here are examples of third-party service providers we use:

  1. Sizzle host our website and helps us to maintain the software that runs our website. Sizzle also serve cookies on our behalf to enable any site personalisation and log in functionality.
  2. Ticketmaster process data in regard of ticket sales for the venue.
  3. TixServe, Saracens digital ticketing provider
  4. Advertisers and advertising networks that require the data to select and serve relevant adverts to you and others. We do not disclose information about identifiable individuals to our advertisers, but we will provide them with aggregate information about our users. We may also use such aggregate information to help advertisers reach the kind of audience they want to target. We may make use of the personal data we have collected from you to enable us to comply with our advertisers’ wishes by displaying their advertisement to that target audience;
  5. Third parties when required by law or to protect our services. We will disclose your personal information to comply with applicable law or respond to valid legal process, including from our regulators, law enforcement or other government agencies; to protect our customers (e.g. to prevent spam or attempts to defraud users of our services); to operate and maintain the security of our website (e.g. to prevent or stop an attack on our systems or networks); or to protect the rights or property of Saracens RFC, including enforcing any terms or agreements governing the use of our services. In the event that we sell or buy any business or assets, in which case we will disclose your personal data to the prospective seller or buyer of such business or assets. If Saracens Limited or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets. If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our site’s terms of use and other agreements; or to protect the rights, property, or safety of Saracens Limited, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.
  6. We share personal data with Premiership Rugby, the RFU, Tottenham Hotspur Stadium (for purchases related to The Showdown events at Tottenham Hotspur Stadium) and third-party service providers who assist us with insight analytics.

The Club follows strict procedures to protect supporter information. Consequently, we will not share your personal information with any other third party for use in direct marketing.

How we market to you and keep you updated

You will need to ‘Opt in’ to marketing communications. You can do this by calling our Ticketing office or updating your preferences within your account on eticketing.co.uk/Saracens. You are able to select the form of communication you would like to be contacted via (e.g. email, post, mobile phone, work phone).

You are able to ‘Opt out’ of marketing communications or change your contact preferences at any time through the ‘manage your subscriptions’ link at the bottom of our emails, by calling our Ticket office or updating your preferences within your account on eticketing.co.uk/Saracens.

Note that the need to "opt-in" does not apply to important service information regarding your purchase (e.g. Membership, Tickets, Retail etc) from the Club as these are service rather than marketing communications.

Where we store your personal data

We have put in place appropriate physical and technical measures to safeguard the personal information that we collect in connection with our services. In addition, we limit access to your personal information to those people and businesses who have a business need to know. They will only process your personal information on our instructions and they are subject to a duty of confidentiality.

All information you provide to us is stored on our secure servers. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

How long we store/keep your personal data

We retain personal information for as long as necessary to fulfil the purposes for which it was collected, as outlined in this privacy notice, unless a longer retention period is required by law. When your personal information is no longer required for the purpose it was collected for, or as required by applicable law, it will be deleted and/or returned to you in accordance with applicable law.

We collect, store and process your personal information in accordance with your rights under applicable data protection laws. In certain circumstances you have the following rights in relation to your personal information:

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.

You have the right to ask us not to process your personal data for marketing purposes.

We will usually inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your data. You can also exercise the right at any time by contacting us at supporterservices@sportseventsguide.com.

In certain situations, you are entitled to: (i) request access to a copy of your personal data; (ii) request that we correct your personal data; (iii) request that we erase your personal data; (iv) object to processing of your personal data where we are relying on a legitimate interest; (v) request the restriction of processing of your personal data; (vi) request the transfer of your personal data to a third party; or (vii) where you have provided your consent to certain of our processing activities, in certain circumstances, you may withdraw your consent at any time (but please note that we may continue to process such personal data if we have legitimate legal grounds for doing so).

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests (in each case, where we are legally entitled to take longer to respond). In this case, we will notify you and keep you updated.

Our site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

Alternatively, if you are based outside the UK, you may contact your local data protection supervisory authority.
